Fall Festival Committee
Briarlake Fall Festival, a day full of games, food, inflatables, crafts, entertainment, and community fun, is the biggest and most loved community event of the year. Behind it is a team of leads—each with a specific role—working together as one team to bring it all to life and keep things moving along. Through strong teamwork and collaboration, they coordinate activities, vendors, and logistics to create a high-energy, unforgettable day that’s become a Briarlake fall tradition.
Chair - Summer Planning & Transition

Meets virtually with Co-Presidents (mid-July) to review budget and event scope

Reviews prior year event-planning documents for reference

Updates or creates shared documents for planning and budget tracking
Chair – Core Responsibilities

Acts as project manager

Oversees all Committee Leads

Delegates roles during the initial planning meeting

Establishes budget needs for each role

Manages responsibilities within the approved budget

Promotes event through all PTA communication channels

Serves as the primary point of contact on event day

Attends Board Meetings in the months leading up to and following Fall Festival
Lead – Core Responsibilities

Ticket Lead – Manages pre-sales and oversees ticket booth operations

Volunteer Lead – Recruits, coordinates, and supervises volunteers

Games & Activities Lead – Reviews inventory and replenishes supplies and games

Vendor Lead – Coordinates food trucks, entertainers, inflatables, etc.

Event Décor Lead – Oversees indoor/outdoor Fall Festival decorations
Committee – Shared Responsibilities

Uses team management software (or organized email threads) to keep the Fall Festival Committee and Co-Presidents consistently informed and aligned

Attends monthly virtual Committee meetings (led by the Chair), increasing to biweekly as needed
-
Attends the fall Campus Cleanup to help set up seasonal décor for the Fall Festival

Meets the evening before Fall Festival to setup for the event

Oversees event breakdown and ensures all materials are returned to storage
-
Reports to Co-Presidents
