Fall Festival Committee

Summer Planning & Transition for Chair

  • Meets with Co-Presidents virtually (mid-July) to review budget and scope
  • References previous year’s event-planning documents for context
  • Revises/creates sharable documents for event planning and budget management

Chair – Core Responsibilities

  • Serves as project manager
  • Oversees all Committee Leads
  • Delegates Lead roles during first meeting
  • Leads monthly Committee meetings
  • Serves as the primary point of contact on the day of the event
  • Manages responsibilities within the assigned budget
  • Promotes event through all PTA communication channels
  • Attends Board Meetings in the months leading up to /following Fall Festival 
  • Reports to Co-Presidents

Lead – Core Responsibilities

  • Ticket Lead – Manages pre-sales and oversees ticket booth operations
  • Volunteer Lead – Recruits, coordinates, and supervises volunteers
  • Games & Activities Lead – Reviews inventory and invests in new supplies/games
  • Vendor Lead – Coordinates food trucks, entertainers, inflatables, etc.
  • Event Décor Lead – Oversees outdoor/indoor Fall Festival decorations
  • Reports to Fall Festival Chair

Shared Planning Responsibilities 

  • Utilizes designated team management software, keeping Fall Festival Committee and Co-Presidents unilaterally informed and aligned
  • Attends monthly virtual meetings leading up to the event (increasing to biweekly as needed)
  • Manages responsibilities within the assigned budget categories

Shared Execution Responsibilities

  • Attends Fall Campus Cleanup to setup organic and seasonal Fall Festival décor
  • Begins event setup the evening prior to the event
  • Completes setup the morning of the event 
  • Oversees event breakdown and ensure all materials are returned to storage
